Microsoft Education: Schedule Teams Meetings In Canvas
Note: This guide assumes Microsoft Education has already been set up in your course. If not, follow the setup guide to enable Teams Meetings in Canvas.
The Teams Meetings app, available within the Microsoft Education integration, allows you to schedule and manage Microsoft Teams meetings directly from Canvas. This guide covers how to schedule, edit, and manage meetings without leaving Canvas.
Accessing Teams Meetings
Select Teams Meetings from the Microsoft Education menu in your Canvas course.

Teams Meetings Interface
The Teams Meetings app organizes meetings into five tabs:

Upcoming — Meetings scheduled by anyone in the course through the Canvas app.

My Meetings — Meetings you have scheduled through the Microsoft Education app.

Previous — Past meetings scheduled through the Canvas app.

Attendance — Attendance charts for meetings you organized or co-organized (instructors only).

Recordings — Recordings for meetings you were directly invited to and scheduled within Canvas.

Important: This app only displays meetings scheduled through the Canvas Microsoft Education app. Meetings scheduled from Outlook, the Microsoft Teams desktop or web app, or the Link Creator app in the Canvas Rich Content Editor will not appear here.
Scheduling a Meeting
Select New Meeting and complete the meeting form:

Title — Add a descriptive title that helps attendees understand the meeting purpose.

Invite Attendees — Manually add email addresses for individuals outside your course. For course members, use options 3 or 4 instead.

Add Entire Class — Adds your full course roster to the invite list.

Allow Anyone in the Course to Join — Recommended for most meetings. Makes the meeting visible to all course members without individual invitations.

Date/Time — Set the meeting date, start time, and duration.

Time Zone — Set the appropriate time zone for attendee calendars.

Make Recurring (currently not functioning) — Enable for repeating meetings, then set start and end dates and a recurrence pattern.

Details — Add notes or an agenda to help attendees prepare.

Select Save when finished. The meeting will appear in the Upcoming and My Meetings tabs.

Starting an Instant Meeting with Meet Now
To start a meeting immediately or generate a shareable link on the fly, select the arrow next to New Meeting and choose Meet Now.

You can rename the meeting before it begins, then either select Start Meeting to launch immediately or Get a Link to Share to copy a meeting link for distribution.

Joining and Editing a Scheduled Meeting
If the meeting was set to "Allow anyone in the course to join" while shceduling, or an individual was invited, they can locate the meeting in the Upcoming or My Meetings tab and select Join or Edit.

Upon opening Microsoft Education, the dashboard may display a quick join option for meetings in progress, and other helpful messages like recording availability.

Canceling a Scheduled Meeting
To delete a meeting shceduled within Microsoft Education, you can find the meeting under "My Meetings" and select the More menu, then Delete.

Alternative: Cancel Through Outlook or Teams
Meetings scheduled in Canvas also appear in your Outlook and Teams calendars. Locate the meeting in either app and cancel it there.

Frequently Asked Questions
Do I need to manage class recordings, or are they available indefinitely?Recordings expire after 60 days by default. As the instructor, you can extend or remove this expiration. Recordings for Teams meetings that are scheduled through Microsoft Education will conveniently appear in the Recordings tab. To manage the recording, select the Share icon within the video thumbnail in that tab.

Who can schedule meetings in the Teams Meetings app?Anyone enrolled in the course can schedule meetings through this app. Students can schedule meetings with peers, but they do not have the Allow Anyone in the Course to Join option, so their meetings will not be visible to others unless attendees are explicitly invited.
How can I tell who scheduled a meeting?Each meeting tile displays an "Organized by" label identifying who scheduled it.
Can I map attendance to grades?No. The Attendance tab provides a participation overview but cannot pass grades to the Canvas gradebook. For graded attendance, we recommend using the Roll Call Attendance tool alongside your Teams meetings.
Where can I adjust meeting options or configure features like Breakout Rooms?To adjust meeting settings, open Microsoft Education and locate the meeting under 'My Meetings' or 'Upcoming Meetings' and select More then Edit. You can find Meeting Options within the Meeting details page.
